Call for Bids for CSTS GO 2009

In its inaugural year, what was then called Serenity Now/Equality Now was coordinated out of the Portland of Oregon, with the goal of establishing an annual Browncoat event to raise funds for Equality Now, consisting of local charity screenings of Serenity scheduled to cluster around the June 23 birthday of Joss Whedon. Dozens of sites around the world held such screenings and raised more than $65,000 for that charity.

In its second year, and operating as Can't Stop the Serenity, the effort was coordinated out of North Texas. Again, dozens of cities around the world participated, and helped surpass the second-year goal of raising $100,000 for Equality Now. For the 2007 event, certain aspects of the global coordination were strengthened (for example, merchandise and sponsorship) in order to provide local events with a greater opportunity to raise money in their cities.

In 2008, our global efforts were organized in Austin, TX, with assistance from Organizers in Chicago, USA and Adelaide, Australia. 2008 helped to develop the idea of a Global Team, including a dedicated webmaster, Merchandising Officer, and Global Organizing Assistants for Northern and Southern Hemisphere. We added more cities and increased our fundraising goal to $150,000, even in the face of adversity (read: print loss).

That's where we've been. Here's where we're going:

Originally, the Prior Global Organizer(s) would choose the new Global Organizer. For 2009, we’re changing this process. We believe that every participating city should be allowed one vote in choosing the new Global Organizer.

The Position of Global Organizer

Coordinating the global effort is a labor of love and requires a good deal of time, energy, and attention. But none of the three global coordinators to date would hesitate to say that it also is extraordinarily rewarding.

Keep in mind, you will be in charge of but not limited to:

• Responsible to maintaining open communication with all local organizers
• Maintenance of the cantstoptheserenity.com domain, including paying for the web hosting, $9.99/month, administrating the forums, updates and design content.
• Finding Global Sponsorships
• Organizing Global Merchandise
• Global PR, including producing at least one Press Release
• Leading the development and maintenance of new policies that will help maintain the integrity of CSTS (i.e. How To Guides)
• Communication with Equality Now, including tracking and confirming all donations to Equality Now (and any other charity CSTS money is donated to.)
• Developing a team to assist in all of the above tasks. (It is very wise to have your global team consist of people from different cities and continents.)

Some things to keep in mind:

• It cannot be stated enough that this position takes a lot of time, between your own planning and strategy sessions, coordinating with other organizers, checking and responding to email and forum posts, and putting out whatever fires crop up. While you are not expected to work on it with every waking moment, know that this likely is not a 15-minutes-a-day undertaking.
• While we do not currently have a steering committee, there is discussion of re-instating something similar to a consistency committee. Let it be known that this should not be considered, or used, as an excuse or opportunity to artificially restrict growth of the event or the introduction of new ideas.

Applying for the Position

Applications for coordinating 2009 should be completed and emailed to 2009@cantstoptheserenity.com by 3rd of September 2008. The applications will be added to the Can’t Stop The Serenity website for review, and votes will be accepted via email only.

To be eligible for self-nomination, you must:

• Have been a local organiser of a CSTS event for 1 year OR
• Have been on a local CSTS event team for 1 year
• Be located in the USA, or show proof of capability for basing your work in the USA (as merchandising and sponsorship needs to be based in the USA, as well as working with the USA VP of distribution at Universal)

To place a bid, the applicant must submit a statement detailing why he or she would like to be Global Organizer in 2009 including:

• A "post-mortem" on their own experiences as an organizer/team member in 2006, 2007, and/or 2008. What worked? What didn't?
• An idea of Global positions they feel would need to be filled to handle global coordination. (i.e. Marketing Officer, PR Officer, Sponsorship Officer, etc.)
• Thoughts on what aspects of the effort can be strengthened at the global level (such as 2007's move towards global merchandise and sponsorship or 2008’s How To Guide) in order to make the local events themselves more successful without interfering with the local nature of those events.
• Examples of specific vendors or sponsors if the applicant already has some in mind (This is optional at this early stage, and certainly not required.)
• Any other thoughts or ideas the applicant has had about continuing to make the effort a collection of successful events.
• Examples of other organizing they've done, if any. These should focus on other Browncoat and/or charity events, but not necessarily to the exclusion of other relevant experience.
• Whether he or she will also be the local event organizer (It is not disallowed that the global organizer not be a local event organiser, but to do both is very stressful, and it is not advised. Think about whether you can let someone else take on the role, whilst you assist them as a team member)

Additionally, each bid will not be considered valid unless a supporting document is filed. This will be a letter of support (not unlike a reference for a job application), which must be sent to miranda@cantstoptheserenity.com by the closing date for applications, from either one of your team (if you are the event organizer), or from your event organizer (if you are an event team member). This letter should indicate why he or she feels you would make an excellent global organizer.

VOTING

Voting will be open from the 4th of September 2008 for 2 weeks.

One vote per city will be allowed, and the voter will need to register with Miranda Ween, miranda@cantstoptheserenity.com, prior to the commencement of voting. The voter should ideally be the 2008 OR 2009 local event organizer. It is also advised that you discuss the applications with your team before casting your vote.

Then submit your "bid" between now and September 3rd. And come September 19th, we start getting to work all over again.
