Venue questions.

I have my first sit down meeting with my venue director tomorrow afternoon January 29th. I have a list of questions prepared already but I welcome any and all suggestions of things to ask about.

My List:
1.Concessions? Will they be open during screening? Any additional costs?

2. How early can we come in? How late can we stay?

3. Basement bar for wine tasting?

4. Can you order or do you have movie posters for marquee? How much would it cost us?

5. How much for deposit? When would final payment for site and movie be due?

6. Other food and drinks on the day? Limits? Costs?

7. DVD projection? Hook up for computer or power point projector?

8. Music system? Cds or ipod hook up?

9. Mike set up and tables?

10. Clean up?

dont forget to cover all bases on costs. a lot of people get caught out on having to pay for house staff, or having to pay for EVERY seat in the cinema, not just the ones filled.

as for movie posters... well last year we had some really awesome ones made up for CSTS. not sure if we're having them done again this year, but they were full size. someone might have one still you could get and use... and just put up signs to say 2008 instead of 2007 and your date and time.

What a gorgeous venue! Good luck with negotiations. I spotted on their rental page that they charge $500 flat for non profit, find out what that includes and if there are hidden additional costs such as projection staff?

I will add the question about print shipping cost. They do advance ticketing for other events so we should be able to do that here as well. The great thing about this venue is that their regular movie price is only $5.00. So if we go with a $10.00 price that would put half the ticket cost towards the charity right there - subject to minor variation depending on the cost of printing. But it is already a cheap place to go. We will be getting the non-profit rate, I know that already. It says on the website that the cost includes volunteer staffing for the day but I will be clarifying exactly what that means.
